The easiest way to solve this is to merge the names. edit the names to match EXACTLY! Then the program will prompt you to merge them.
Otherwise, the one which you wish to delete cannot have ANY transactions in it's register. Once it's register is clear, you highlight the name on the names list and use Control+D.

Printing

There can be multiple causes for this one.
You may have data damage, with broken transactions.
You may have List damage, which a verify will not pick up.
Your list of accounts\ customer names, may actually be so complex (jobs plays into this also) that you are crashing the computers resources-running it out of memory. This is especially true of older computers. This data file ay have been in operation for years, and become very large ( do control + 1 to see the file size).
Also, it was noted in some of the older versions, that Qb could have problems printing a large number of statements. In those cases, it was recommended that you try 100, then 200, and so on until you found the breaking point (which, if memmory serves was around 400, give ot take).
Under file, utilities, there will be a verify data option ( with a large file on an older system , this can take a LONG time, to the point you think it has quit, if the Hard disk light is flashing, it is still working on it, It may take hours, or in some cases, more than a day to complete.
Another issue that may affect the outcome is the number of UNUSED accounts. They may be empty, but the program still has to crawl through them. Later versions have a capability called a Portable Company File, which removes unused accounts, names and such, and can speed the efficiency, this was not present in your version.

Quickbooks

You can import external lists, and some transactions, but only from an exel spreadsheet, and then, only if you use the IIF format Intuit has laid out.
If you go the help section of QuickBooks, and search on Import, it will give examples. I will tell you straight up, it can be a pain!!!
f you choose to use the IIF format, it is IMPERATIVE that you follow the header setups EXACTLY, including punctuation, and yes, they are case sensitive.

QuickBooks 2005

This sounds very much like a corrupt database. Blank transactions should not be allowed by a datafile that is fully intact.
You can start by verifying the data. Make sure all of the windows are closed, then go to file, utilities, verify.
If the verify passes, (and it may, even if damage is present), you may want to take the step of rebuilding the data.
Personal preference, I like to copy the company file to the desktop and run the rebuild on the copy, that way if everything goes to heck in a hand basket, the original file is still there.
If the issue continues after a rebuild, you may be faced with a situation where only Intuit can attempt to repair the data. The only problem is, they no longer support this version, and will only work on the file if you are upgrading to the 2008 version!
One way to quickly get an indicator the data is damaged, run a standard balance sheet for all dates on a cash basis. If the two bold numbers on the report are not in balance- you can pretty much bet the company file is damaged. Remeber, this type of issue will only be seen in a single company file, other files on the same computer can be fine.

Help

Intuit designed the QuickBooks software to run for 30 days without a registration number, or Validation code as they are now called. It was designed to operate as a trial period. At 30 days, the options were to purchase the program, which granted you the code number, or the program would stop.
Once registered, the program should operate without the need to re-register unless it was reinstalled, or the registry entries were damaged, and therefor, lost.
I fully understand the monetary constraints you are facing. I also understand that Intuit only supports the 3 most recent versions ( 2006,2007,2008) as trying to keep older versions updated is not really cost effective.
If your program keeps losing the registration numbers, you have something on the system that is damaging the locations where that info is stored, like the registry. As for continuing to use it without registering.....that is simply not an option.

Quickbooks Pro 2005 Access

If I remember correctly you have the option to share quickbooks or to use it exclusively....(and it was part of the setup). Fixing that (should be some reference to it in the help menu) cures one problem. Not being able to close it is a different problem. I can't remember exactly but I do know there was a decision somewhere in the set up that allowed you to share or not share the database. If others are signed on perhaps that is why you can't sign off. Just some thought to hopefully point you in the right direction.

Credit memo's

Hi Marli...

First I cannot answer your question specifically (what you have to do in Quickbooks) because my use of Quickbooks is further back in time. On the other hand (I assume) you are trying to do this to suppress income (give credits back to your customers) prior to filing a return. Your "accounting" problem (not quickbooks) is the account you are putting them in....cost of sales?? or elsewhere...refund? Think that through and you have your answer I suspect.
