Adding music to a powerpoint presentation

How you present the material in a speech can say as much to your audience about your expertise on a subject as the actual content of the speech itself. Microsoft PowerPoint is a powerful multimedia presentation tool capable of producing captivating and informative slideshow presentations. Microsoft PowerPoint is a program that is part of the Microsoft Office suite and has been emulated in open-source programs such as OpenOffice.

Open Microsoft PowerPoint. In Windows computers, PowerPoint can be accessed by clicking "Start," then "All Programs," then the "Microsoft Office" folder. Mac computers will install a link to PowerPoint on the taskbar. Click "Design" and choose one of the templates that open in the design tab. Additional designs can be downloaded from Microsoft.com. Click the area of the slide that says "Click to add title" and type your desired title. This slide is referred to as the title slide. Create a new slide by right-clicking on the title slide and choose the "New Slide" option. Windows users can use the keyboard shortcut by holding "Ctrl+M" with PowerPoint opened. Click the area of the slide that says "Click to Add Title" to add a title or "Click to Add Text" to add text to the slide. Type the information that you would like to display on your presentation in the text box. The text box gives you the option to add text, pictures and tables and even create graphs by clicking on one of the respective icons at the center of the text box. Click on a slide that you would like to add a special transition to and click the "Transitions" tab. Select a transition by clicking on it. Click on a text box that you would like to animate and click the "Animations" tab. Select an animation by clicking on it. Click "File" and "Save" to save the PowerPoint presentation. Open the saved presentation, pressing the "F5" button to open the presentation in full-screen mode.

The PowerPoint software program allows you to create slide presentations that can be viewed on any computer.

While some graphic artists specialize in developing compelling presentations, anyone can develop a PowerPoint slide presentation that is attractive and readable.

Follow these steps to develop your own slide show.

Open your PowerPoint program. When the dialog box opens, click on the "Blank Presentation" option.

Choose an "AutoLayout" format.

Begin with the title slide layout, which is the first one on the left. Click "OK," and you will have a title slide to work with.

Add text to your slide by clicking in the title text box and typing a title.

Do the same thing in the subtitle box.

Create another slide by clicking the "New Slide" button on the Common Tasks toolbar.

When the AutoLayout dialog box appears, choose a layout for this slide.

Keep adding new slides until your presentation is complete.

Move from slide to slide by clicking the button on the lower-right corner of the PowerPoint window.

Clicking the button with the upward-pointing arrows will take you to the previous slide, and clicking the button with the downward-pointing arrows will take you to the next slide.

Save your presentation. Click the "File" menu and then click "Save As."

A dialog box will appear, and you'll be able to type in a name for your presentation.

The presentation will be saved to your hard drive.

In the Slide pane, you can work directly on individual slides. Dotted borders identify placeholders, where you can type text or insert pictures, charts, and other objects. The Slides tab shows a thumbnail version of each full size slide shown in the Slide pane. After you add other slides, you can click a thumbnail on the Slides tab to make the slide appear in the Slide pane. Or you can drag thumbnails to rearrange the slides in your presentation. You can also add or delete slides on the Slides tab. In the Notes pane, you can type notes about the current slide. You can hand out your notes to your audience or refer to your notes in Presenter view when you give your presentation. Note By default, Office PowerPoint 2007 applies the Blank Presentation template, which appears in the preceding illustration, to new presentations. Blank Presentation is the simplest and most generic of the templates in Office PowerPoint 2007. Blank Presentation is a good template to use when you first start working with PowerPoint because it is straightforward and can be adapted to many presentation types. To create a new presentation that is based on the Blank Presentation template, click the Microsoft Office Button , click New, click Blank and recent under Templates, and then double-click Blank Presentation under Blank and recent.
After you open the Blank Presentation template, only a small portion of the Notes pane is visible. To see a larger portion of the Notes pane so that you have more room to type in it, do the following:

1. Point to the top border of the Notes pane.
2. When the pointer becomes a , drag the border up to make a little more room for your speaker notes, as shown in the following illustration.

Name and save your presentation As with any software program, it is a good idea to name and save your presentation right away and then to save your changes frequently while you work:

1. Click the Microsoft Office Button , point to Save As, and then do one of the following:
• For a presentation that can be opened only in Office PowerPoint 2007, click PowerPoint Presentation.
• For a presentation that can be opened in either Office PowerPoint 2007 or earlier versions of PowerPoint, click PowerPoint 97-2003 Presentation.

If you choose this option, you cannot use any of the features that are new in Office PowerPoint 2007.

1. In the Save As dialog box, in the Save in list, select the folder or other location where you want to save your presentation.
2. In the File name box, type a name for your presentation, or do nothing to accept the default file name, and then click Save.

Add, rearrange, and delete slides The single slide that is provided automatically in your presentation has two placeholders, one formatted for a title and the other formatted for a subtitle. The arrangement of placeholders on a slide is called a layout. Office PowerPoint 2007 also provides other types of placeholders, such as those for pictures and SmartArt graphics.
When you add a slide to your presentation, you can do the following to choose a layout for the new slide at the same time:

1. On the Slides tab, click just below the single slide that already appears there.
2. On the Home tab, in the Slides group, click the arrow next to New Slide.

The name identifies the content that each layout is designed for. Placeholders that display colored icons can contain text, but you can also click the icons to automatically insert objects, including SmartArt graphics and clip art.

1. Click the layout that you want for your new slide.

The new slide now appears both on the Slides tab, where it is highlighted as the current slide, and in the Slide pane. Repeat this procedure for each new slide that you want to add.

Tip If you want your new slide to have the same layout that the preceding slide has, you can just click New Slide instead of clicking the arrow next to it.

Since you have not mention the power point version that you are currently using I give you the method to embed sound in your entire slide show for both PowerPoint 2003 and PowerPoint 2007.

Lets start with PowerPoint 2003 : Go to the slide where you want to initiate the sound track in .wav form.(1st slide is the default).

Go to Insert> Movies and Sound> Sound from file
Select your .wav sound file and click ok.
After you click OK you will se a dialogue box appearing asking you "How do you want the sound to play". You have to specify that. If you are not sure select "Automatically" so when you land on that slide during the slide show your music or sound will start automatically.

Select Slide Show ->Custom Animation to enter the Custom Animation pane. Confirm Your soundtrack is listed below in the pane.

• In the drop-down list of the sound, choose Effect Options. Then the Play Sound interface appears. In the Effect tab, click the radio button beside Stop Playing After XXX slides (which indicates how many slides you want this song to play across) to enter the number of slides you intend to add. For example, you can enter a number from 1 to 999 for this field. Then the sound will play throughout the specified slides.
• Next, check the settings in the Timing tab. To play automatically, you can set to Start After Previous with a 0-second delay. Click OK to exit the dialog box.

• Then go to Sound Settings tab, adjust the sound volume as you like. You can also tick to hide sound icon during slide show if you don't want it appear.

Now your sound will play from the first slide till the last.

Life is much much easier with PowerPoint 2007

• On the slide, click Insert to pick the Sound drop-down list on the very right below the tab. Select Sound from File in the list and choose the specified sound track from your hard drive.
• Click OK and a message prompts, saying How do you want the sound to start in the slide show? Click Automatically.
• Now click the sound icon to display the Options tab. Click on the tab, and set Play across slides for Play Sound.

At the moment, it is time for you to play the entire slide show while enjoying this pleasant sound score.
NOTE:

• The sound you insert must be as long as your slide show. That is, if the slide show lasts 5 minutes, your soundtrack should also be at that length. Otherwise, the sound would be cut off until the slide show ends.
• It is highly recommend that you take PowerPoint 2007 for your convenience.

• After you click OK, you can see a message pop up asking how you want the sound to start in slide shows. Click Automatically.

Instead of copying presentation directly to CD, simply do Package on CD (File menu --> Package in CD, then copy to a folder or directly burn to CD
it will contain everything required to run presentation your PPT file, Powerpoint Viewer and all supporting files.

This is because if a music file is larger than a certain size (cannot remember the exact size, but relatively small) the music is not saved in the PP but in the original file. you should send the music file together with the presentation
