I would like to know how to program the fax machine so I can receive a receipt of confirmation that the fax has been delievered to its destination correctly.

How will I know if my fax is received by the recipient? I did not receive any delivery report.

Go back to the SETUP menu and find the print receipt confirmation and select "print" or the positive equivalent offered on your machine . There is a function to view transmission results without printing, in the machine. this is a link to one of the manuals for this machine. It contains over 200 pages. Print documents received and forward to a specified end receiver. This is useful if, for example, you are visiting another office and would like a copy of your documents to be sent to that office.
You can also specify a "folder" as the forwarding destination.

  • To use this function, set [Forwarding] under [Administrator Tools] to [On].
  • The Forwarding function does not forward documents received with Memory Lock.
  • You can select end receivers only from among destinations programmed in the Address Book. You cannot specify programmed transfer stations as end receivers.
A fax number, e-mail address, IP-Fax destination, and folder can be set as the forwarding destination.
When you wish to change the end receivers depending on the senders, specify the end receivers by the senders, at "Program Special Sender". Documents not received from specified senders are sent to the destination specified in this function. For details about programming special sender, see "Program Special Sender".
You can set whether or not to print the forwarded documents on this machine in "Parameter Setting" (switch 11, bit 6). See "Parameter Settings".
Deleting a destination specified as a forward destination from the destination list causes the settings of the forward destination to be deleted, so they must be registered again. When a destination is changed, a document is transmitted to the new destination. If there is no destination of the specified type, you can set which destination to be used as an alternative destination in "Parameter Setting" (switch 32, bit 0). See "Parameter Settings".
You can program one of the User Function keys with operations for this function. See "General Settings/Adjust".
If you have specified a folder for forwarding, you can specify the file format used for forwarding in "Parameter Setting" (switch 21, bit 3). See "Parameter Settings".
User Parameters (switch 37, bit 4) on the Fax Features menu allows you to include the sender's name in the names of files sent to folders. However, garbling of the file name and data loss can result if the receiver's operating system cannot accept certain characters in file names. To prevent this, use User Parameters (switch 37, bit 5) to limit the file names to plain characters only. If you limit file names to plain characters only but errors still occur, disable display of the sender's name in the file name of documents forwarded to folders. For details, see "Parameter Settings".
Using the parameter setting (switches 38 and 39), you can specify the maximum number of resends that the machine attempts if it fails to forward a fax (including faxes from special senders) to a folder destination, and the interval between the resend attempts.

How do I program a new destination # into my fax?

- Open One-Touch Speed Dialing menu - Press DATA REGISTRATION - Go to 2. Tel REGISTRATION - Press SET > 1.1 - Touch SPD DIAL - Specify which button # you want to program on LCD (select up and down button) and press SET - Enter telephone number and press SET - Enter a name and press SET - Press SET to confirm. - Press STOP to return to standby.

Received confirmation

Sent confirmation reports are available within the fax machine.
Theoretically if the fax has been successfully sent, it should be successfully received on the other end as well.
But unfortunately there is no confirmation for successful receipts, unless you are using IP based fax transfer.

Q. 1 - When I try to send a fax I get an error message that says: Fax Send Report is set to Off Q. 2 - I have an 1/2 inch black line down one side of any copy I try to make.

1. Usually a "fax send report" just means that you will not receive a "receipt" or "confirmation" that the fax was successfully sent. Changing the setting to off is pretty much just saving you ink & paper. When my fax machine report is set to off, I only receive a receipt if the fax was unsuccessful. However, all fax machines are different and have a mind of their own...so your best bet it to refer to the owner's manual or call the company where it came from.

2. The only thing I can think of is maybe you need to replace the plexi-glass on the copier or do an internal wipe of the underside of the glass. Sometimes the ink can smear from underneath when faxed papers get jammed or printed.

From Ricoh Aficio MP2550 manual:

Delete destinations registered in the LAN-Fax Address Book:
numb01.gifOn the [Start] menu, point to [All Programs], [LAN-Fax Utilities], and then click [Address Book].
The [Address Book] dialog box appears.
If LAN-Fax Driver has already started up, click [Edit Address Book...].
numb02.gifClick [New/Browse...], and then select the CSV file containing the address list to be edited.
numb03.gifSelect the destination you want to delete so it is highlighted in the list.
numb04.gifClick [Delete].
numb05.gifClick [Yes].
numb06.gifClick [Close].
numb07.gifIf you made changes to a destination, a confirmation message appears. To save the changes, click [Yes].
If you do not want to save the changes and want to quit editing, click [No].
To return to the editing display, click [Cancel].
The confirmation dialog box does not appear when you have not made any changes after starting Address Book.

The receiver is getting our letterhead info but not the content on the pages. We get a receipt that says Poor Line Condition

pick up the receiver & see if is clear.i.e there is o oise in the background.gen this happens i the line is noisy & the machine in not n a position to receive or send axes
best remedy is to try another tel line & recive a fax to confirm the pronlem.if the problrm persists then u have to get the main board ot the NCU card replaced!

Information about e-mail

You cannot know for sure.

If you don't get an automated "failure delivery" message from sending server like "destination unreachable", you can assume that the mail was sent.

The other aspect is -DO the recipient RECEIVED the mail?,
SENDING mail does not assures you that it was RECEIVED.

Well, There is a way to add a confirmation request to your mail but most people click "NO" to the request.

To configure the receipt request in outlook express do the following:

Open outlook express --> press on "tool" tag --> a new menu is displayed, --> press on "options" tag, a new menu is displayed, --> press on "receipts" tag and tag "V" at the first chioce "requesting read receipts".

To configure the receipt request in outlook (not express) do the following:

Open the outlook program and press on "tool" tag --> a new menu is displayed, press on the "options" tag, a new menu is displayed, press "preferences" tag -->press on "email options" tag --> press on "surveillance options button", a new menu is displayed, then tag(V) on the 6th tag "send receipt"

However, SmartDeviceMonitor for Admin can only be used on a computer which has the TCP/IP protocol correctly installed. Once you have confirmed that SmartDeviceMonitor is installed, to confirm that your fax was transmitted properly, follow these steps: 1.Open SmartDeviceMonitor for Admin by clicking [Start] on the taskbar, pointing to [All Programs] and then [SmartDeviceMonitor for Admin], and then clicking [SmartDeviceMonitor for Admin]. 2.Click the device whose information you wish to display. 3.On the [Tools] menu, click [Load Fax Journal]. 4.When Web Image Monitor opens in your web browser, click [Job], click [Fax History], and then click [Transmission].
